Job Title: Accounts Assistant

Duty Station: Kampala, Uganda

Reports to: Head Finance and Administration

Key Duties and Responsibilities:

The main purpose of the Accounts Assistant is to provide timely support to the head of Finance and Administration in preparing books of Accounts, handle accountabilities and reconcile cash and bank as required from time to time. The responsibilities are categorised in line with the following key result areas:-

Result Area 1: Accounts Payables

  1. Assist in timely processing of staff advances for travel and activities
  2. Assist in timely processing of activities participants’ mobile payments
  3. Assist in Processing of supplier invoices within agreed timelines

Result Area 2: Accounts Receivable

  1. Assists in collection and review of Field Expense Reports, ensuring the validity and accuracy of all submitted expenses.
  2. Assists in accurate posting of the advances liquidating expenses to QuickBooks

Result Area 3: Cash/Bank Management

  1. Conducts periodic cash counts
  2. Ensure timely banking of any unspent amounts refunded by staff.

Result Area 4: Statutory Requirements

  1. Ensure all statutory remittances are paid on time, and that accurate amounts are paid
  2. Maintain and update statutory remittances file.

Result Area 5: Monthly Reporting activities

  1. Timely posting of all transactions as well as ensuring consistency, accuracy and completeness of such transactions.
  2. Ensure field offices meet all reporting deadlines for Quick books end of month Reports.

Other Responsibilities

  1. Support the Audit/Compliance Review Exercises
  2. Any other work related duties as may be assigned

Qualifications, Skills and Experience:

  1. The candidate should hold a Bachelor’s degree in Commerce or Business Administration, majoring in Accounting.
  2. Part of professional qualification in Accountancy e.g. CPA or ACCA, at foundation stage completed.
  3. Knowledge of using electronic banking.
  4. Good computer skills with ability to work with spread sheets, accounting software packages such as Quick books, SUN, Tally or Sage.
  5. S/he should have a good ethical conduct, service oriented, innovative and creative.
  6. Ability to work with others in a team setting and willing to learn and pay keen attention to detail.
  7. S/he should be a person of high integrity, committed to meeting deadlines, willing to work extra hours.
